Compiling rules of dissertations

Approved by the decision of the Presidium of the Supreme Attestation Commission under the President of the Republic of Azerbaijan, dated November 24, 2000 (Protocol № 34-R) and with the amendments made by the decisions of the Presidium dated September 19, 2003 (Protocol № 12-R), dated June 6, 2004 (Protocol № 11-R), dated February 6, 2009 (Protocol № 02-R) and dated May 4, 2012 (Protocol № 07-R)

 

 

GUIDELINES FOR WRITING DISSERTATIONS

2.      Guidelines for writing dissertations

2.1.The main requirements

2.1.1.      The text of dissertation is accumulated in computer and printed. Printing should be carried out on one side of the white paper, formatted A4 (210 x 297 mm), including a 1.5 interval between rows.

2.1.2.      The texts of dissertations should be printed in Times New Roman fonts-14, in Azerbaijani-in Latin alphabet, in Russian-in Cyrillic alphabet, in English (US)-in English alphabet.

Images and tables may be conducted in A3 (297 x 420 mm) format.

2.1.3.      The text of dissertation is printed in specified dimensions of the empty space: left empty space- 30 mm, right-10 mm, the upper and lower-20 mm (up until the last row).

2.1.4.        The number of line characters shall be not less than 60-65, taking into account the interval between words. The number of lines on the page should be 29-31.

2.1.5.        All lines, letters, numbers and signs in the dissertation should be clear and in the same blackness.

2.1.6.      The separate words, formulas, conventional signs can be added into the dissertation text using black ink. The density of the additional text should be close to basic text.

2.1.7.      Mistakes andgraphic errors found after printing can be corrected. The number of the amendments on each page should not be more than two.

2.1.8.      The volume of Sc.D. dissertation should be 200-250 pages, the volume of Ph.D. dissertation-100-150 pages (images, tables, graphics, applications, with the exception of the list of literature). The volume of the dissertation in the humanities may exceed 20-30%.

2.1.9.      The main text of dissertation is divided into chapters, subchapters, paragraphs.

2.1.10.  Chapters headings should be written in capital letters, symmetrically to the text, but sub-chapters headings should be written with line letters, starting from the paragraph (with the exception of the first capital letters). Separating syllables and holding on to the row to another is not allowed in writing of titles. The insertion point should not be at the end of a title. If the title consists of two sentences, they must be separated from each other by the insertion point.

2.1.11.  The words of the “Contents”, “Introduction”, ”Result”, “Literature review”, “Appendices” should be considered as a part of the title of the structure.

2.1.12.  The 2 interval should be between chapter and sub-chapter, as well as between the title and the text. Drawing a line under the title isn’t allowed.

2.1.13.  Each chapter should start on a new page.

2.2.Numbering

2.2.1.      Dissertation pages are numbered in Arabic numerals.

The cover page is taken into consideration in numbering. The number isn’t printed on the cover page, the number of “2” to the next page, then number series is printed in the upper right corner of the page. Pages are (additions, references, acts etc. included) consecutively numbered.

2.2.2.      All publications, included in the “Literature review” should be consecutively numbered in Arabic numerals.

2.2.3.      Chapters are consecutively numbered in Roman numerals (for example: CHAPTER I). There is no number in “Contents”, “Introduction”, “Result”.

2.2.4.      The number of the subchapter consists of the separated chapter and subchapter numbers. Point mark is inserted at the end of the chapter. For example: 2.5. (The fifth sub-chapter of the second chapter).

2.2.5.      If there are items in the chapter, they are consecutively numbered in Arabic numerals. Item number separated by from each other point in the chapter, consists of half a chapter and item numbers. The point mark is inserted at the end of the number, for example: 2.5.1. (The first item of the fifth subchapter of the second chapter0.

2.2.6.      Illustrations (tables, drawings, diagrams, graphs) on the separate page are numbered as pages of the dissertation. Tables, pictures, drawings larger than A4 format are accepted as a page and they are posted in the order of their numbers after the results at the end of the dissertation.

2.2.7.      The reference and explanatory notes of the dissertation work and tables should be consecutively numbered in Arabic numerals.

2.2.8.      If you have a note of the total, it isn’t numbered, if the number of notes is more than 1, put a colon after the word of the “Note” and notes are numbered. For example:

… Font size 12, line spacing distance -1 interval should be for the printing of notes.

3.       Illustrations

The illustrations should be qualified. Images can be drawn with black ink and they can be colorful.

Images on computer or graphics and original images can be used in the dissertation.

Photos, which are smaller than A4 format should be stuck in a standard white sheet. The original photos should be in the 1st and 2nd copies of the dissertation.

3.2.      The illustrations should be placed that, we are able to look at them in turning to the direction of the clock or not turning. The illustrations should be placed after the first reference of them in the text.

3.3.    The illustrations are marked with the word of “Img.” and numbered in Arabic numerals. The illustration number consists of the numbers of the chapter number and illustration consistent number separated by the point from each other. For example: Img. 1.2 (the second image of the first chapter). Illustration number and illustration title are placed under the illustration.

Tables

4.1. Digital materials are usually drawn up as a table. The title should be in each table. The word of the “Table” and title should be written in capital letters. The line shouldn’t be given under the title.

4.2. The tables should be placed that, we are able to look at them in turning to the direction of the clock or not turning. The tables consisted of the number of lines and columns can be placed in several pages.

4.3. The tables in the chapter are numbered consecutively in Arabic numerals (with the exception of tables in the appendix).

The table number consists of the chapter number and consecutive number of the table separated by the point from each other, for example, Table1.2 (the second table of the first chapter). If you have one table of the total in the dissertation, it is not necessary to number and write the word of the “Table”.

4.4.      If the table is placed on two or more pages, the word of “Table” and its number is indicated in the upper right side of the first page of the table. The word of “continuation” is written on the relevant parts of the rest of the table. If you have a number of tables in the dissertation, then the word of “continuation” is written front of the table number, for example: A continuation of the Table 1.2.

The name and number of the table are placed on the table. The number is printed in the right.   

4.5. The titles of the columns and lines of the table,, font size 12 for information, line spacing distance should be an interval.

5. Formulas

The given formulas in the text (if number is more than one) should be numbered consecutively in Arabic numerals. Formula number consists of consecutive numbers of the chapter and formula number separated by the point from each other. Formula number is written in brackets on the right side of the page on a level with its number. For example, (3.1) - that is the first formula of the third chapter.

5.2.  An explanation of the symbol meaning and numerical coefficients found in the formula are written under the formula taking into account their sequence placing.An explanation of each symbol meaning and numerical coefficients should be placed in the new line.The first line of the explanation should be started with the word of “There”.

5.3. Equations and formulas should be separated with the pure lines. One or two pure lines should be up and down line for each formula. If equations are longer in a liner, they are moved to a new line after equality (=), addition (+), subtraction (-), multiplication (x) or division (:) signs.

6. Bibliographic references

6.1.      The sources referred to the text of the dissertation should be written in the “literature review” in alphabetical order and numbered. The number of referred sources in the “literature review” are indicated after brackets or ordinary parentheses. For example:[115]or(115).

6.2.       In the case of referring to several times in different pages of large volume book(s), this source is shown only once in the “literature review”. The work number in the review, volume (multivolume works) and relevant page(s) are shown after the reference in the text. For example,[39,p.250-252],[153,p.2, p.106] and in another part of the text[39,p.156],[153,p.1, p.86-91] and etc.

References between the lines aren’t advisable.

7.      Cover Page

The first page of the dissertation is a Cover Page, it is not numbered and it is compiled in accordance with the Addition 1.5 of  Regulation on “Dissertation Councils”. 

8.    Contents

Starting pages of all chapters, subchapters, items headings are shown in Contents.

9.    The list of conventional signs, symbols, units and terms 

If specific terms, abbreviations not widely spread, new symbols, signs and etc. are used in the dissertation, their list should be given under the heading of “The list of abbreviations” on a separate page.

9.2.  The list is written in the form of column, abbreviations (in alphabetical order) are given on the left side, their exact openings are given on the right side. If specific terms, abbreviations, symbols, signs are repeated less than three times, then a list isn’t compiled, their openings are mentioned in the text as mentioned for the first time.

10.   Literature review

10.1.   The sources used in the dissertation are shown in alphabetical order, in published languages (previously Azerbaijani, then Turkish, Russian, English, French, Arabic, etc.) in the consecutively numbered list.

10.2. The literature review should be reflected in the literature of the past 5-10 years.

10.3. The following conventional signs are used in bibliographic description of the sources used in the dissertation:

10.4. The bibliographic description of the Reference should be given not depending on its type. Information on the sources included in the list is shown as the following:

10.4.1.  The bibliographic description of books (monographs, textbooks, etc.) is compiled by the name of the author or the book, if authors are up to four persons, the author or authors' surname and initials are given.

Multivolumepublication is referred to as follows:

The bibliographic description of articles consists of two parts: 1. Information about the article; 2. Information about the place of publication of the published article.

These parts are separated by double slash - «//», that an interval is put before and after it. All authors surnames and initials are given in up to four authors’ articles. Both initials of the authors are shown in Azerbaijani and Russian references, only the first letter of names is shown in Western European references. For example:

-         «və b.» - The publications in Azerbaijani language;

10.4.3. The bibliographic description of the collection of articles and conference materials consists of two parts. These parts are separated by double slash - «/», that an interval is put before and after it. For example:

10.4.4. The author’s name, initials, title of the dissertation are given while referring to the dissertation, the alleged scientific degree, city, year of publication and volume are shown after colon. For example:

The same rules are used in referring to the auto-reference of the dissertation, but only the word of “abstract” is added.
